Notification Audit

Published by NowForgefirst-party

What it does

Reads every notification on your instance and tells you which ones are switched on but cannot reach a single person.

Then it tells you, in a sentence, whether any of that needs you today.

It cannot change a notification, a group, or anything else. It has no way to.

The finding that justifies installing it

A notification that is active, looks configured, and reaches nobody.

No recipients. No recipient fields. No event parameter carrying one. No subscription. Whatever it reports on — an approval waiting, a service down, a certificate expiring — goes precisely nowhere, and nothing in the platform tells you.

On a stock instance we found 11 of them, out of 367 active notifications. On an instance that has been lived in for five years, with groups that emptied and people who left, it is worse.

What else it looks for

Goes to a group with no active members - The group exists, the notification is addressed to it, and every member has left or it never had any. Reaches nobody, looks fine. Sends to an inactive user - Addressed to an account that has been switched off, so whatever it reports goes to somebody who is gone. Sends to a typed-in address - A literal email address written into the recipients rather than a user on your instance, so no joiner-leaver process governs it. Sends with a blank subject line - No subject and no email template to supply one. Duplicated - Same table, same event, same recipients, same condition, same subject. Whoever it reaches is told twice.

Why you can trust the numbers

Every check here was measured against a real instance before it was written, and three of them changed as a result.

The headline finding started at 150 and finished at 11. A notification with an empty recipient list looks broken and usually is not: ServiceNow also resolves recipients from the event parameters and from subscriptions. Counting those as failures gives you 150 findings of which 139 are wrong — and a list that is 93% noise is one nobody opens twice.

Blank subjects started at 76 and finished at 26. The other 50 take their subject from an email template.

Duplicates started at 66 and finished at 11. Keyed loosely, one notification in five looked like a duplicate. Two notifications on the same event with different conditions are two notifications, not a mistake.

And one check was cut entirely. "This notification listens for an event that never fires" sounds useful and cannot be answered honestly: the event log on a busy instance covers hours, not months, so "never seen" would have condemned 219 of 227 perfectly ordinary events. We would rather ship five findings we can defend than six where one is invented.

A sentence, not a score

The report ends with a sentence saying how many notifications it read and whether any of them need attention now.

Deliberately not a number out of a hundred. A score invites a threshold, a threshold invites somebody deciding that seven is acceptable, and after that nobody reads the detail again.

What installing it costs you

Nothing to configure, nothing to connect, nothing to trust with a credential.

It stores nothing. There is no table in this application. Every answer is computed when you press the button and thrown away when you close the page. Nothing at rest, nothing to corrupt, nothing to export before you remove it, and an uninstall that cannot leave residue because there is none.

It never writes. Not to a notification, not to a group, not to a property. That is not a promise in a document — it is a test in the shipped ATF suite that reads every script in the application and fails if any of them can modify a notification or a group.

It stops reading at 2000 rows per source and tells you when it did.

One role, x_nf_notify.user, because there is nothing to separate. It shows you what you could already read by opening the notification list yourself. It just does the reading.

Why it is free

It is the fastest way to show you how we build: one screen, one role, no tables, and a documented reason for every decision in it. If it earns your trust, our paid work is built the same way.
